What is a Cross Reference?
A cross reference refers to an element that is found in another part of the document. For example, you may have a sentence such as "We will discuss this case in more detail on page X" where X is the number of the page on which the case is discussed. As you continue to edit the document, the number of the page you are refering to may change. NeoOffice allows you to insert a target at the place in the document to which you want to refer, and then use it to insert a cross-reference.
How to Insert Target for a Cross Reference
Suppose that you have a section of text in your document that you want to refer to elsewhere, or that you want to be able to find easily. To do so, you must insert a "target" at this place. You do so by one of two methods: Bookmarks or Set Reference
Set Reference
- Place the cursor in (or just before) the word or the phrase.
- Under the Insert menu, choose Cross reference... The Fields window opens, with the References tab selected.
- Make sure that Set Reference is selected under Type and then enter a name for the target in the Name field. It is always good to give the target a name that clearly identifies it.
- Click OK. The Fields window closes.
Bookmark
- Place the cursor in (or just before) the word or the phrase.
- Under the Insert menu, choose Bookmark.... The Insert Bookmark window opens.
- In the entry field, type the name that you want to give to your bookmark. (Give it a descriptive name)
- Click OK. The Insert Bookmark window closes.
How to Insert a Cross-Reference
Now you have written a sentence like "We discuss this case in more detail on page X" where "X" is the page number of the target you have created. In order to insert a page number that is updated automatically when a change in your document changes the page number of the target (for example, you have deleted several pages). You must do the following:
- Under the Insert menu, choose Cross-reference. The Fields window opens and the References tab is selected.
- In the left column, titled Type, choose Insert Reference
- In the center column, titled Selection, choose the name of the cross-reference target that you have inserted;
- In the right column, titled Format, choose page (assuming that you want to insert the page number; note that there are other options here as well)
- Click on Insert and then Close.
The page number of the target will be added to your document at the cursor point. Note that the cross reference (whether a page number or something else) is also a hyperlink. Clicking on it takes you to the target mark in your document.
Adding a Hyperlink to a Reference
Note Only cross references to Bookmarks can be set as hyperlinks. Cross references to set references cannot be hyperlinked, but double clicking on the cross reference usually takes you to the set reference "target."
Adding a hyperclink to a reference allows you to click on, for example, the page number and immediately go to the text to which the cross reference refers. To set a hyperlink, follow these instructions:
- Select the cross reference
- Under the Insert choose Hyperlink. The Hyperlink window opens.
- Click on the "Document" icon
- In the Target within the document section, to the right of the Target field, click the target icon. A window opens.
- Choose Bookmarks then select the bookmark you wish to refer to;
- Click on the Apply, then on the Close. The Target in Document window closes.
- Click on the Close in the Hyperlink.
Now if you place the cursor on the reference, it will become a hand. Clicking on this spot will take you to the point of the document where the bookmark is placed.
