Sorting in the Data Source View

Quick One-Column Sorts

Click on the column heading (or a cell in that colum) and click the Sort Ascending or Sort Descending button on the Table Data toolbar.

The Sort Ascending button looks like A-Z with a green arrow pointing down.
The Sort Descending button looks like Z-A with a green arrow pointing down.

Note that you can only sort by one column at a time this way. If you click on another column and click one of these Sort buttons, the data will be re-sorted by the new column.

Multiple-Column Sorts

For Multi-column sorts, you need to use the Sort button. (A-Z with no green arrow).

  1. Click on the Sort button
  2. In the first Field name drop-down, select the first field you want to sort by.
  3. In the first Order drop-down, select either descending or ascending, depending on which you want.
  4. Repeat in as many of the other lines as needed for your desired sort.

Sorting Queries

The techniques above work for Tables and Queries where no sort order has been specified in the Query. When working with a Query that has a specified sort order, you cannot change the "built-in" sort order of the query. You can add "secondary" sorts. For example, if we had set the All Sightings query to sort by AOU_ID order only, we could, in the Data Source View, also sort by Date by selecting the Date column and clicking on one of the Sort buttons. The data would still be sorted by AOU_ID order, but if are multiple sightings for a given bird, those sightings would be sorted by date.
